PICKLEBALL RETREAT SERVICE AGREEMENT

Costa Rica Pickleball Retreat | November 2–9, 2026

This Service Agreement (“Agreement”) is entered into by and between Veera Korjala, VekeFitness International, LLC  (“Host,” “Organizer,” “we,” or “us”) and the retreat participant (“Participant,” “Guest,” or “you”).

By submitting payment toward the Costa Rica Pickleball Retreat, you acknowledge that you have read, understood, and agreed to the following terms and conditions.

1. RETREAT DETAILS

Retreat Name: Costa Rica Pickleball Retreat
Dates: November 2–9, 2026
Location: Costa Rica
Duration: 7 nights / 8 days

This retreat includes accommodations, selected meals, transportation outlined in the retreat package, pickleball activities, excursions, and group coaching sessions as described on the official retreat sales page.

2. PAYMENT TERMS

Deposit

A non-refundable deposit of 500€ per person is required to reserve your space.

Payment Plans

If a payment plan is offered, all payments must be completed by Sep 1, 2026.

Final Payment

Full payment must be received no later than Sep 1, 2026. Failure to complete payments by the final due date may result in forfeiture of your reservation and prior payments.

3. CANCELLATION POLICY

Participant Cancellation

Due to the planning, accommodations, staffing, and logistical commitments required, all payments are non-refundable unless otherwise stated below:

Recommended Option:

• Deposit: Non-refundable
• Cancellations made before Sep 1, 2026: Payments beyond deposit may be transferable to another eligible participant approved by Host
• Cancellations after Sep 1, 2026: No refunds

Participants are strongly encouraged to purchase travel insurance that includes trip cancellation coverage.

4. HOST CANCELLATION OR CHANGES

The Host reserves the right to make changes to the itinerary, accommodations, coaches, excursions, or schedule due to weather, safety concerns, facility issues, or circumstances beyond our control.

If the retreat is canceled by Host, participants will receive either:

• A refund of payments made, OR
• A credit toward a future retreat

Host is not responsible for additional expenses such as airfare, travel insurance or personal purchases.

5. TRAVEL REQUIREMENTS

Participants are responsible for:

• Valid passport
• Flights
• Entry requirements for Costa Rica

Host is not responsible for denied entry, missed flights or travel disruptions.

6. HEALTH & PHYSICAL ACTIVITY

By participating, you acknowledge that pickleball, mobility & stretching, excursions, transportation and retreat activities involve physical exertion and inherent risk.

You confirm that:

• You are physically capable of participating
• You voluntarily assume all risks
• You release Host, coaches, staff, venue owners, and affiliates from liability for injuries, illness, loss, or damages

Participants should consult a medical professional if uncertain about physical readiness.

7. LIABILITY WAIVER

To the fullest extent permitted by law, Participant releases and holds harmless the Host and affiliated parties from any liability arising from:

• Injury
• Illness
• Property loss
• Travel disruptions
• Tournament participation
• Third-party transportation or excursions

Participation is voluntary and at your own risk.

8. CODE OF CONDUCT

To maintain a positive group environment, participants agree to:

• Treat others respectfully
• Follow safety guidelines
• Respect accommodations and property
• Avoid disruptive or harmful behavior

Host reserves the right to remove any participant without refund for misconduct, harassment, illegal activity, or behavior that compromises the experience of others.

9. MEDIA RELEASE

By attending, you grant Host permission to use photos/videos taken during the retreat for promotional, educational, or marketing purposes unless written notice is provided before retreat start date.

10. ROOM ASSIGNMENTS

Room selection is based on availability and payment tier. Shared accommodations may involve roommate assignments unless booking with a chosen companion.

11. FORCE MAJEURE

Host shall not be liable for delays, cancellations, or changes caused by events beyond reasonable control, including but not limited to:

• Natural disasters
• Pandemics
• Government restrictions
• Political unrest
• Transportation strikes

12. AGREEMENT TO TERMS

By submitting payment, Participant confirms:

• They have read this Agreement
• They understand and accept all terms
• They voluntarily agree to participate
